Moderators Schedule and Instructions

Thank you for agreeing to moderate at WaterTech 2015. The following guidelines will assist you in maximizing your effectiveness and will ensure a positive session for all participants.  The single biggest complaint we have received about events in the past is sessions not staying on schedule.

It is very important that the sessions start and end on time.

  1. A copy of the moderator schedule is on-line at: https://www.esaa.org/watertech/moderators/
  2. Be at your assigned room at least 10 minutes prior to the session start time.
  3. Acquaint yourself with the AV technician who will ensure set up is completed in advance of the session time. The technician will visit each room prior to the start time of the sessions.
  4. If there is a problem during the session, please have someone from the room go to the technical support desk outside of the breakout rooms and one of the technicians will assist you.
  5. When the presenter arrives, confirm the name as it’s possible some companies will send alternates, or additional presenters.
  6. Note that your role is to:
    1. Introduce yourself
    2. Start on time
    3. Introduce the presenter(s) for the next time period (name, company, title of presentation). Advise that speaker bios are in the program.
    4. Ensure the presentation ends on time to allow for questions and to ensure the overall conference schedule is followed. Each presenter is allowed a total of 25 minutes to present and 5 minutes for questions, no exceptions.
    5. Give a five minute warning before the end of the 25 minutes to allow for questions.
    6. Moderate the question period.
    7. When thanking the speaker, advise that in lieu of speaker gifts, ESAA has made a donation to the One Drop charity.
    8. Conclude the session on time.
    9. There is a five minute break between presentations to allow people to move between rooms. Please watch the timing.

Items of note:

  1. A copy of these instructions will be in your session room, on or near the podium
  2. A copy of the print program will be available in each room, on or near the podium.
  3. A laser pointer will be on the podium for use during the session. Please ensure that the laser pointer remains in the room at the conclusion of the session.
  4. There will be a coffee station outside of the session rooms so the delegates will not need to return to the main conference area, unless they want to visit the trade show.
  5. Both lunches take place in the Olympic Ballroom.
  6. If you are moderating the afternoon session on Tuesday, remind delegates of the Nakiska Barbecue. Buses will be leaving from the front of the hotel (that is outside the main lobby off the Lodge) starting at 4:45 pm.
